Pack for the Booking. Be Ready for the Next One.
A practical supply guide for mobile espresso bars, coffee trailers, wedding coffee carts, and pop-ups—with a compact cup setup, direct product links, and an event packing checklist.
Build a Compact Cup and Lid Setup
A coffee cart has limited counter space and limited room for backup cases. Choose around the drinks you actually sell, then reduce unnecessary packaging variations. Use separate, clearly labeled hot-cup and cold-cup lid stations.
Hot Drinks: Include an 8 oz Squat Option
Solex 8 oz Squat White Premium Paper Hot Cups (1,000/Case) starts the selected shared 90mm hot-cup program. Solex Sustain 8 oz Squat Tree-Free No-Sleeve Insulated Compostable Bamboo Cup (500/Case) provides an insulated bamboo option. Compare the full selected 8–24 oz system in our hot cup and shared-lid comparison, including Solex 90mm Black Snap-Fit Lids for 10-20 oz Paper Hot Cups (1,000/Case). Some lid titles list 10–20 oz; the guide identifies the selected additional compatible squat formats. Do not extend that compatibility to every brand or every 8 oz cup.
Insulation changes the handling experience; it does not eliminate burn risk. Fully seat lids, avoid overfilling, and handle hot drinks carefully. For bamboo and compostable formats, check the exact product and the local facility’s acceptance requirements; conventional plastic lids are not automatically compostable.
Cold Drinks: One Core 98mm Family
- Solex 16 oz Clear PET Plastic Cups, 98mm (1,000/Case)
- Solex 20 oz Clear PET Plastic Cups, 98mm (1,000/Case)
- Solex 24 oz Premium Clear PET Plastic Cups, 98mm (600/Case)
- Solex 98mm Dome Strawless Sippy Lids with Seal-Tab for 12–24 oz Clear PET Cups (1,000/Case)
- Solex 98NSL Strawless Sip Lids for 12–24 oz 98mm Plastic Cups (1,000/Case) (626NSL)
- Solex 98mm Flat Strawless Sippy Lids with Seal-Tab for 12-24 oz Clear PET Cups (1,000/Case)
The dome sippy lid offers added headroom; 98NSL offers direct sipping without a tab; the flat seal-tab option has a lower profile. Compare the complete cup-and-lid combination with your ice and recipe before event service.
Coffee Cart Supplies for a 100-Drink Event
Sample allocation: assume 60 hot drinks and 40 cold drinks, then add a 10% packaging reserve within each group. Pack 66 hot cups with 66 matching lids and 44 cold cups with 44 matching lids: 110 complete servings. Adjust the split using the booking, weather, menu, and your own event history.
| Planning step | What to count |
|---|---|
| Before buying cases | Subtract usable stock at home or in storage; count hot and cold packaging separately. |
| Before loading the cart | Allocate protected sleeves for the event instead of treating the full case as event consumption. |
| Before service | Check cup/lid pairs, drinking accessories, napkins, ingredient measures, and backup location. |
| After the event | Record remaining stock, drinks sold by format, and items that slowed service. |
A guest count is not automatically a drink count. Discuss multiple-drink service and the booking duration before estimating quantities. Calculate milk and syrup from your actual recipes and menu mix.

Coffee Cart Purchasing Questions
Can I order supplies without opening a full distributor account?
You can shop listed products and selling units through the online store. Review product availability and delivery eligibility, or ask the team about a recurring supply account when you need more support.
Should I use the same lid for hot and iced drinks?
Do not assume interchangeability. The selected hot-cup program uses a 90mm family, while the cold PET cups featured here use 98mm lids. Match each product’s specific compatibility.
Does this checklist include everything needed to open legally?
No. This is a purchasing and packing guide. Equipment, permits, venue rules, and operating requirements depend on your location and setup; confirm them with the relevant authorities and venue before operating.
Can I start with stock cups and move to custom printing?
Yes. Stock formats let you establish your menu and usage first. For a custom project, share the selected formats, artwork, estimated usage, and event or launch date so the team can quote minimums and timing.
A Small Setup Can Still Have a Serious Supply Program.
